Notes on the Newsletter and Consents

The following information explains the content of our newsletter, the subscription, delivery, and statistical analysis procedures, as well as your right to object. By subscribing to our newsletter, you agree to receive it and to the procedures described below.

Newsletter Content

We send newsletters, emails, and other electronic notifications containing promotional information (collectively, “newsletter”) only with the recipient’s consent or on another lawful basis. If, during the newsletter signup process, we specifically describe its content, that description forms the basis of your consent. Otherwise, our newsletters generally include information about our company, products, events, seminars, and related activities.

Newsletter Signup

You typically subscribe to our newsletter by providing your email address and agreeing to receive it—usually in writing during an oose event (seminar, evening program, or similar).

We log each newsletter signup to document the process. This includes recording the date and time of signup and the IP address used. We also log any changes you make later to your data stored with our newsletter provider (e.g. rapidmail).

Use of the “rapidmail” Delivery Service

Newsletters are sent via rapidmail, a German newsletter platform:

rapidmail GmbH
Augustinerplatz 2
79098 Freiburg Germany

The email addresses of our newsletter recipients, and any other data described here, are stored on rapidmail’s servers in Germany. rapidmail uses this information to deliver and analyze the newsletter on our behalf. rapidmail may also use the data to optimize its own services—e.g., improving delivery technology or understanding recipient locations for statistical purposes—but will never contact recipients directly or share data with third parties.

We trust rapidmail’s reliability and IT/data security. You can view rapidmail’s privacy statement on their website.

Signup Data

To subscribe, you need only provide your email address. Optionally, you may supply your first and last name—this is purely for personalizing the newsletter. You can also optionally provide your birth date, gender, and industry; we use these details solely to tailor newsletter content to readers’ interests.

Statistical Collection and Analysis

Our newsletters contain a “web beacon” (a tiny pixel file) that loads from rapidmail’s server when you open the newsletter. When the beacon is fetched, technical details—your browser and system information, IP address, and timestamp—are collected. We use these data to improve service reliability (technical performance) and to analyze reader behavior (e.g., by geographic region via IP lookup or reading times). Such analysis is only performed if a third-party delivery service is used and the service’s terms allow it.

We also track whether newsletters are opened, when they are opened, and which links are clicked. Although these events can technically be linked to individual recipients, neither we nor rapidmail intend to profile individuals; the data serve statistical purposes only, to refine our technology and processes and fix technical issues.

These analytics help us understand reading habits so we can tailor content or provide different content based on subscriber interests.

Online Access and Data Management

Sometimes we link newsletter recipients to rapidmail-hosted pages—for example, an “view online” link if the newsletter displays poorly in the email client. Recipients can also correct their data (e.g. email address) there. rapidmail’s privacy policy is available on its site.

Please note that rapidmail’s web pages use cookies and that rapidmail, its partners, and its service providers process personal data. We have no influence over this. For more details, see rapidmail’s privacy policy. You may also opt out of online advertising tracking via www.optout.aboutads.info or www.youronlinechoices.com.

Unsubscribe / Withdrawal

You can unsubscribe or withdraw your consent at any time, without giving reasons. This also revokes your consent for delivery via rapidmail and for statistical analysis, effective immediately. You cannot withdraw delivery only or statistics only—if you do, we cannot send the newsletter.

Each newsletter includes an unsubscribe link at the bottom.

Legal Basis under the GDPR

Under the EU General Data Protection Regulation (GDPR) effective 25 May 2018, your consent to receive the newsletter is based on Art. 6(1)(a) GDPR and Art. 7 GDPR, and on § 7(2) No. 3 and (3) UWG (German Unfair Competition Act). Our use of rapidmail and the statistical analyses and logging of the signup process rest on our legitimate interests (Art. 6(1)(f) GDPR)—namely, operating a user-friendly, secure newsletter system that serves our business needs and meets subscriber expectations.

You also have the right to object at any time, under Art. 21 GDPR, to the further processing of your personal data—especially for direct marketing purposes.
